Compliance Search Process for OnPrem e-mails

This "article" is to summarize the process of compliance search for Exchange 2016/2019. The process for Exchange Online is a bit different as it uses only the *-ComplianceSearch cmdlets, since New-MailboxSearch and Search-Mailbox eDiscovery cmdlets are being deprecated for Exchange Online, and the New-ComplianceSearchActions cmdlet has options to purge unwanted e-mails that the Search-Mailbox cmdlet does in Exchange OnPrem.

The scripts from this Microsoft article have been modified in this repository to start the MAilboxSearch after it's created (Start-MailboxSearch), and I added an option to export the results in a Discovery Mailbox (a mailbox for which you have Full Access works as well to export the results in, but only in PowerShell, not in EAC), but to be able to do this export, you need the "Mailbox Import Export" permission as mentionned in the Permissions section below.

As specified above, you need the proper permissions for the whole compliance search/eDiscovery/Export results process in Exchange OnPrem to be able to use the *-ComplianceSearch and New-MailboxSearch to search and export your results in Exchange 2016/2019.

Permissions

  • To be able to run the New-ComplianceSearch cmdlet, you need the "Mailbox Search" management role, which is part of the "Discovery Management" role group (or you can create a custom role group with the Mailbox Search management role inside)

  • To be able to run the New-MailboxSearch cmdlet, you need the "Legal Hold" management role, which is part of the "Discovery Management" role group as well (or again, you can create a custom role group with the Legal Hold management role inside)

  • In addition to the above 2 management roles (both present in the "Discovery Management" Role Group), you might also need to have the "Mailbox Import Export" management role to be able to export results with New-MailboxSearch cmdlet (last step on the below procedure). Here's a way to give a user or yourself the permissions to export search results, in the below example for the user samdrey of the CanadaDrey domain:

Or another example, if you need to give users the Mailbox Search, the Legal Hold and the Mailbox Import Export management roles, you can create a custom Role Group with these commands:

Quick note, from that MS article I keep mentionning over and over, the e-mail properties you can use on Compliance Searches are the following:

Here's the simplified process to complete Compliance Search and results exports as detailed in this Microsoft article, using the PowerShell scripts from the article, slightly modified with added parameters and the Export function added (from New-MailboxMove) on the RunSearch.ps1 script from the article. You will find the mentionned .ps1 scripts on this repository:

And then below is the process expanded and commented in PowerShell code with a sample query using the sent>= and sent<= properties to get results between two dates, and the attachmentnames property to filter on specific attachments:
